1. Who we are
Banshi HRMS is operated by Banshi Softwares Pvt. Ltd. (“Banshi Software”, “we”, “us”), 47 Aaditya Nagar, Dali Bai Circle, Jodhpur 342008, Rajasthan, India. You can reach us at contact@banshisoftware.com or +91 8949563933.
This policy covers the HRMS marketing site, demo requests, the newsletter, and the HRMS platform a company uses to run its workforce. It also covers related Banshi products when a customer turns them on: Secure Work Chats, the Project Management System, and the Agentic AI Assistant.
2. Who controls employee data
When a company uses HRMS, that company decides what workforce information is stored and why. For employee, payroll, attendance, and similar records, the customer company is the organisation responsible for that data. Banshi Software provides the software and processes the data on the company’s instructions.
For information you give us directly — a demo request, a newsletter email, or a visit to this website — Banshi Software is responsible for that information.
3. What the products collect
HRMS workforce records
Depending on the modules a company enables, HRMS stores:
- Staff profiles, employment details, and documents kept in the company document folder.
- Attendance, shift and break records, leave requests, approvals, and roster schedules.
- GPS check-ins, geofence boundaries, live field-force location, and offline attendance that syncs later.
- Biometric and facial attendance logs, IP checks, and photo or geotagged proof used for on-site task verification.
- Payroll inputs and outputs, including salary, deductions, loans, advances, EMI deductions, reimbursements, and the cashbook ledger.
- Statutory figures the payroll and compliance modules calculate or track, including PF, ESI, TDS, LWF, Professional Tax, gratuity, and bonus, plus compliance tasks, POSH records the company maintains, and salary-compliance summaries.
- Asset allocations, support tickets, and blacklist or compliance checks the company chooses to run.
- Task assignments, progress updates, productivity reports, and on-site task photos or GPS confirmation.
Secure Work Chats
When chat is enabled, the product can store direct messages, department channels, shared files, geotagged media, admin broadcasts, and read receipts. Messages may be linked to an employee’s payroll profile so HR context stays in one workspace.
Project Management System
When project boards are enabled, the product can store tasks, assignees, Kanban and sprint activity, Gantt schedules, location-locked field tickets, and timesheets. Timesheet hours can be passed into payroll calculations.
Agentic AI Assistant
When the assistant is enabled, it can read the workforce data the company already stores — such as biometric logs, payroll entries, shift rosters, and company policies — to flag payroll differences, draft policy text, answer employee compliance questions, and suggest shift changes. Prompts, answers, and the records the assistant uses to produce them are processed to provide that feature.
Website, demos, and updates
- Demo requests: first name, last name, work email, company name, employee size, and the message you write.
- Newsletter: the email address you submit to receive feature and payroll-compliance updates.
- Site use: pages viewed, device and browser details, and approximate location derived from the connection, collected through Google Analytics.
- Security checks: a reCAPTCHA token when you submit the demo form, processed by Google to reduce spam.
4. Why we use it
- To run attendance, geofencing, leave, shifts, payroll, assets, loans, reimbursements, tasks, and compliance for the customer company.
- To show reports the company asks for, including attendance trends, payroll summaries, and branch or state compliance status.
- To deliver chat, project tracking, timesheets, and the AI assistant when those modules are part of the company’s subscription.
- To respond to demo requests and send the newsletter you asked for.
- To keep the site and platform secure, measure how the marketing site is used, and improve the product.
- To meet legal duties that apply to us, including responding to a lawful request.
5. Location, biometrics, and photos
GPS attendance, geofence boundaries, live field tracking, biometric logs, and task photos are part of how HRMS verifies that work happened where and when the company expects. The customer company is responsible for telling its employees about this monitoring, getting any consent the law requires, and limiting tracking to what its policies allow. Banshi Software does not sell location, biometric, or photo data.
6. Who we share it with
- The customer company and the admins, managers, and employees that company authorises inside HRMS.
- Infrastructure and service providers who host the product, send email, or protect forms, only so they can perform that work for us.
- Google, for Analytics on this website and reCAPTCHA on the demo form.
- Authorities, when the law requires us to disclose information.
We do not sell personal information. Payroll and statutory outputs stay inside the customer’s HRMS account unless the customer exports them or asks us to assist with a support request.
7. Security
HRMS is built for workforce and payroll data. Access inside a company account follows the roles that company sets up. We use access controls, encrypted connections, and restricted production access to protect accounts, documents, payroll records, chat, and project data. No online service can promise that unauthorised access will never happen. If we learn of a breach that affects personal data we process, we will notify the customer company and take the steps the law requires.
8. How long we keep it
Workforce, payroll, chat, and project data is kept for as long as the customer’s account is active and for the period needed to close the account, resolve disputes, and meet legal retention duties. The customer can export or ask us to delete company data when the subscription ends, except where we must keep a record. Demo requests and newsletter addresses are kept until the request is finished or you unsubscribe, and website analytics follow the retention set in our analytics tools.
9. Your choices
Employees should contact their employer to access, correct, or delete HRMS records, because the employer controls that account. You can unsubscribe from the newsletter using the link in those emails or by writing to us. You can also ask us about demo-request information we hold about you.
Under India’s Digital Personal Data Protection Act, 2023, you may have the right to access, correct, erase, and nominate someone to exercise rights for you, and to raise a grievance with us. We will respond within the time the law requires. If we cannot act because the customer company controls the record, we will point you to that company.
10. Children
HRMS and the related products are business tools for employers. We do not knowingly collect personal data from children through the marketing site or demo form.
11. Changes
If we change this policy, we will update the date at the top of this page. If a change materially affects how a customer’s workforce data is used, we will also notify the account administrator.
